Track, manage, assign resources: easy as pie.

There are three options within the Resources section. 


Resources

This is where resources can be created, edited and managed.


Creating a Resource

Steps

  1. From the Resources sidebar option, click the Resources tile.
  2. Click Create in the top right corner of the table.
  3. Complete the resource configuration. See types and configuration for more information.
  4. Click Save.

 

Types

There are three types of resources.

  • Active Directory - this allows you to link the resource to an existing user within the linked Azure active directory.  
    Great for tracking your organisation employees time allocations!

You can only link one active directory user to one resource.

  • Named - This is a custom resource. 
    These are great for tracking people external to your organisation!
  • Generic - This is a custom resource. 
    This is great for tracking physical materials or tracking groups of people external to your organisation! 

 

Configuration

  • Status - set a resource as Active or Inactive
  • Resource Manager - assign resource managers to this resource.  This list is defined by admins within Manage Users.
  • Calendar - Assign this resource a calendar, this will determine this resources available.
  • Currency - set currency this resource costs.
  • Cost Rate - set the cost of this resource, this must be per day.
  • Role - Assign this resource a role.

Role will be populated for Azure active directory resources.

  • Department - Assign this resource a department.

Department will be populated for Azure active directory resources.

  • Skills - assign skills to this resource.
  • Custom Fields - beyond skills, custom fields assigned as a resource field will be displayed here in order.
     

Editing a Resource

After you've created resources, you can edit them to change their name, descriptions, or any other configuration options.

Changes to resources details can be made at any time, the changes will affect your records. Saved changes take effect immediately. 


Steps

  1. From the Resources sidebar option, click the Resources tile.
  2. Select the row (checkbox on left) of the field you wish to edit.
  3. Click Edit in the top right corner of the table.
  4. Modify the configuration.
  5. Click Save.

You can only edit one resource at a time.


Deleting a Resource


Deleting a resource will stop users being able to add this resource to newly created records, or added as a resource to existing records.  All previously resource entries will remain visible and un-affected.

You can delete a single resource, or multiple resources at the same time by selecting multiple rows.

Steps:

  1. From the Resources sidebar option, click the Resources tile.
  2. Select the row (checkbox on left) of the field you wish to delete.
  3. Click the Delete icon in the top right corner of the table.

 


Restoring a Resource

Only Deleted resources can be restored.


You can restore a single or multiple deleted resources at a time.

Steps:

  1. From the Resources sidebar option, click the Resources tile.
  2. Click Deleted tab.
  3. Select the row (checkbox on left) of the resource you wish to restore.
  4. Click the Restore button in the top right corner of the table.

 


Permanently deleting a resource

Only Deleted resources can be permanently deleted.


Permanently Deleting a deleted resources will remove the resource completely from edison365 and delete all instances and data. Deleted resources can't be restored. 

You can permanently delete a single field, or multiple fields at the same time by selecting multiple rows.

Steps:

  1. From the Resources sidebar option, click the Resources tile.
  2. Click Deleted tab.
  3. Select the checkbox in the row of the field you wish to delete.
  4. Click the delete_FILL0_wght400_GRAD0_opsz48 Delete icon in the top right corner of the table.

 


Reports

This is where you can generate reports for each resource.


Generating a Report

This page will default to empty.

Steps:

  1. From the Resources sidebar option, click the Reports tile.
  2. Click Edit Filters.
  3. Click Add Filter.
  4. Select a value to filter by and configure the parameters.
    For example if you wish to filter by resources named Joe Bloggs.
    Filters = Name, in, Joe Bloggs.
  5. Ensure the correct date range is selected. This automatically selects the next 12 weeks from the current day.
  6. Click Generate Report.

Editing a Report

Steps:

  1. From a generated Report.
  2. Click Edit Filters.
  3. (Optional) Click Add Filter to generate based on multiple filters.
  4. Edit a value to filter by and configure the parameters.
    For example if you wish to filter by resources named Joe Bloggs.
    Filters = Name, in, Joe Bloggs.
  5. Ensure the correct date range is selected. This automatically selects the next 12 weeks from the current day.
  6. Click Generate Report.

 


Report Views

There are two types of report views:

Histogram (Default)

Split view, each section displays different data.

Top Section 

Calendar style view of tasks per day.

The task duration is indicated length of the blue bar. You can view the record name and task name on each bar.

Bottom Section

View time allocation (in hours) per day of each resource. 

  • Green Bar - Time allocation of tasks per day, not exceeding the max allocation in hours.
  • Red Bar - Time allocation of tasks per day, exceed the max allocation in hours.
  • Red Line - Shows the max allocation of resource per day in hours.

Utilisation

Top Section

Resource Fields

Here specific fields can be assigned to resources.


Create a Resource Field

You aren't creating a new field. You are assigning a field previously created to be used with resources.

Steps:

  1. From the Resource Field area.
  2. Within the left panel.
    1. Locate the field type Please see Fields for more information on creating/editing fields.
    2. Click the arrow_drop_down_FILL0_wght400_GRAD0_opsz48 expand arrow on the right hand side of the corresponding field type.
    3. Click the field name. The field will then appear within the right hand panel and grey out on the left hand panel. This field is now added as a resource field.

Fields are displayed in the right panel in the order they are added. Newest First.


 

Delete a Resource Field

Steps:

  1. From the Resource Field area.
  2. Within the right panel.
    1. Click the delete_FILL0_wght400_GRAD0_opsz48 delete icon on the right hand side of the field.
    2. The field will then be removed within the right hand panel and the field name will return to full colour on the left hand panel.
