This lucky bunch has the job of progressing records along the funnel, through the various stages of the workflow. Assigned first at the template level, then within the record, the Process Manager is concerned with the stage and status of the record.

Unlike an Owner, Admin or Editor, they will not be able to edit the data within a record. Nor will they need to submit approvals in review stages like a Reviewer, they pop the record into the correct stage and let Reviewers do their job! 

 

What are their responsibilities?💡

With great power comes great responsibility, so here's what they should be looking after!

  • Moving records through stages- when the data is up to scratch the Process Manager should Stage Review the record and move the project to the next working phase in the workflow.
  • Submitting records for review- when the record is sent to a review stage by the Process Manager, the Reviewers will take it from here. Once the minimum number of approvals has been reached, the record will automatically pass to the next stage, so no action required!
  • Manually overriding stages where needed- like a kid skipping French class, a record might want to skip a stage. This can be authorized by admins at the workflow level (the record stages, not skipping French). For example, moving a record into Deleted or On Hold!

What should their habits be? 🗓️

Besides living their best lives and fulfilling their wildest dreams, here are the best Owner habits!

  • Ongoing ☀️
    • Keep your eye on notifications! They'll tell you when an Owner or Reviewer has done something that needs your input.
    • Favorite (❤️) your own records then head to the Projects page. Here you can filter by Favorited and switch to Timeline view, this shows the % completion and stage of your most important records!
  • Weekly 🌱
    • Ask yourself "Is this in the right stage?". If the contents and stage of a record don't add up, you'll want to realign them by changing stage or having an Owner update data. 
  • Monthly 🌳
    • Look out for lack of activity! If a record has been in the same phase for longer than anticipated, perhaps it's time to pause, repurpose or kill it!
  • Quarterly 🍂
    • Speak up on your process! If one stage in your workflow is being completed incorrectly, or reviewers are struggling to complete their approvals. Voice this to your admins to keep things streamlined and efficient.
