Relax! Let your report can refresh itself π
Scheduled refresh in Power BI is a feature that allows you to keep your data up-to-date without manually refreshing it (although there's a time and a place for it).
Hereβs a step-by-step guide on how to set it up:
Prerequisites β
- PowerBI Pro License
- You've already published your report to a Workspace
- Need help with that? Publish Your Report to a Workspace
- You have permissions for the data in the report
- for Ideas: you might need to collaborate with your IT team to ensure you have access to the SharePoint host site (and the SQL DB if you have gamification enabled)
- for edison365: the new app will require Azure API Portal access
Steps
Step 1: Sign In to Power BI
First, navigate to the Power BI service at https://app.powerbi.com and sign in with your Microsoft account credentials.
Step 2: Navigate to Your Workspace
Once youβre signed in, navigate to the workspaces section (left navigation bar) that contains the dataset for which you 'd like to schedule a refresh.
Step 3: Open the Dataset Settings
Find the Semantic Model in the list, click on the βSchedule Refreshβ button (represented by a table with refresh arrows).
Step 4: Configure the Data Source Credentials
In the settings pane, navigate to the βData source credentialsβ tab. For edison365 data, you need to choose "Anonymous" Authentication and check "Skip Test Connection."
Note: Since your API key is a report parameter it should be able to connect and refresh data without logging into a user account. Power BI usually expects this, so by choosing the above settings it knows where to look for the credentials.
Step 5: Enable Scheduled Refresh
Next, navigate to the βRefreshβ tab. Here, switch the toggle to βOn.β
Step 6: Set the Refresh Frequency
Under the βRefresh frequencyβ section, select how often you want the data to be refreshed. You can choose to refresh the data daily or weekly.
Step 7: Set the Refresh Time and Notifications
Under the βAdd timesβ section, specify the time(s) of day when you want the data to be refreshed. You can add multiple refresh times. The default will send failure to refresh notifications to the Semantic Model Owner, but you can choose anyone from your Azure AD to receive these updates.
Step 8: Apply the Changes
Once youβve configured the scheduled refresh settings, click on the βApplyβ button at the bottom of the pane to save your changes.
Note: The ability to schedule refreshes is dependent on your Power BI license, and there may be limits on how often you can refresh your data. Also, make sure that your data source is accessible and that Power BI has the correct credentials to access it.
Tip: At the top of the page you can see the last successful refresh and the next one scheduled. You can click Refresh history to see the full history.
